Building Effective Preventive Care Protocols for New Pet Owners

Establishing clear, standardized protocols for veterinary preventive care is a critical part of ensuring our patients' health and well-being and can help our teams stay on track with recommending diagnostic screening to new pet owners. By utilizing protocols or a framework, we can help clients understand the importance of regular checkups and routine screening from day one.

Let's explore why protocols are essential, what they should include, and some tips for gaining compliance from new clients.

Why Do Standardized Protocols Matter?

Standardized protocols act as a consistent guide for veterinary teams, ensuring every patient receives consistent care. This helps keep the whole team aligned, so they remain on the same page at all times and give the same recommendations. Such protocols also provide the opportunity to educate new pet owners early on during their first few visits about preventive care. Discussing wellness testing and educating from the beginning of your relationship can be key to gaining compliance.

Having the consistency of a standardized protocol can also help reduce errors and guarantee that all pets—no matter their age or breed—get the most appropriate care. By implementing clear protocols in your practice, you can help promote a culture of veterinary preventive care, which can ultimately result in healthier pets and more well-informed pet owners.

Essential Parts of Preventive Healthcare Protocols

When building protocols for new clients, focus on the key areas of preventive healthcare to ensure they are comprehensive yet understandable. These include:

  • Regular checkups and routine screening. The foundation of any healthcare protocol is regular checkups. New pet owners should be educated on the importance of these visits, even if their pet seems healthy. These regular checkups allow us to monitor their pet's health over time and catch any potential issues early. Routine screenings, such as blood tests, urinalysis, vector-borne disease, and fecal exams, are a crucial part of regular checkups for detecting hidden health problems.
  • Baselines. Another critical aspect of preventive healthcare is establishing baselines through routine testing. Having a baseline allows us to identify changes in our patient's health more easily, which can lead to early intervention and better outcomes. We need to educate pet owners and explain that a normal test result is valuable for two reasons: It indicates their pet is healthy, and it provides a reference point for future tests.
  • Vaccinations and preventive medications. Vaccinations are a cornerstone of preventive healthcare. Protocols should clearly outline the recommended vaccination schedule for each species, depending on their age and lifestyle. Additionally, protocols should cover preventive medications for fleas, ticks, heartworms, and other common parasites. By educating pet owners on the importance of these preventive measures, we can help reduce the risk of serious health issues.
  • Nutrition and exercise. Nutrition and exercise play a significant role in a pet's overall health. Preventive healthcare protocols and pet owner communication should include guidance on appropriate diets for pets at different life stages, as well as recommendations for regular exercise. Educating owners about the benefits of a balanced diet and regular physical activity can lead to healthier pets and lower the risk of obesity-related issues.

It can be helpful to create additional protocols for pets of different ages, breeds, or body condition scores. For example, it may be prudent to recommend DCM screening tests for large breed dogs, more regular checks for geriatric patients, or additional education for overweight pets who may be at higher risk of developing certain conditions.

Tips for Gaining Compliance From Veterinary Clients

Getting clients to agree to these protocols can be challenging. Here are some tips to help increase compliance:

  • Educate and communicate. The key to gaining compliance is clear communication. Take the time to explain the importance of wellness testing and answer any questions new pet owners may have. Providing written materials or handouts outlining the recommended protocols can also be helpful. Having the whole veterinary team onboard is key, especially for new pet owners who may be visiting the practice for the first time and unsure of what's typical.
  • Build relationships and trust. Establishing a strong relationship with owners is essential. Focus on building trust by demonstrating care and concern for the pet's well-being. When owners feel valued and respected, they are more likely to follow the recommended protocols.
  • Offer incentives and follow-ups. Offering incentives, such as discounts on preventive services or loyalty programs, can encourage compliance. Follow-up calls or emails after the initial visit are a great idea and can help reinforce the importance of wellness testing and remind pet owners of upcoming appointments.

By implementing these tips and creating comprehensive preventive care protocols, veterinary practices can ensure that new pet owners receive the guidance they need to keep their pets healthy and happy.
